All,

GS-04 County, City and Town Administration Records has been made defunct and all series have been rolled into GS-19 Administrative Records.

Along with this change, several duplicate series have been eliminated. For example, both GS-04 and GS-19 had series titled Agenda and Supporting Documentation Files. Wherever this occurred, the series on GS-04 was eliminated and the identical series on GS-19 remained. One series, 010020 Sewer Project Files, was moved from GS-04 to GS-06 Land Use, Land Development and Public Works.

The biggest change, however, comes to the format of the schedule. This is the first schedule to be generated directly from our new system, Infolinx. You'll notice several changes, including:

* There are now four columns, rather than three
* Disposition methods are now four set types: Confidential Destruction; Non-confidential Destruction; Permanent, In Agency; and Permanent, Archives. Records requiring Confidential Destruction should follow the instructions of No. 8 on the schedule cover page.
* There are no longer series that give a "pass" on completing the Certificate of Records Destruction (RM-3 Form)

Going forward, all new and revised schedules will be generated from Infolinx.

Please pass this information on to others in your locality that use GS-19 or GS-04. The schedule is available at http://www.lva.virginia.gov/agencies/records/sched_local/index.htm.

If you have any questions, please don't hesitate contact me off-list.
