Greetings, VA-ROL Members –

I hope everyone’s 2024 has started well. Thank you for your continued service to or interest in the management of our Commonwealth’s public records…all 2,353 of you!

Last month three General Records Retention and Disposition Schedules were updated:

- The state (GS-106) and locality (GS-16) General Services schedules were amended to include a series covering Building Maintenance/Management: Inspections.

- The Circuit Court schedule (GS-12) underwent a major revision.

A gentle reminder—like the above, this list is used to communicate updates to schedules, as well as general information/announcements from/about the records management community. Every once in a while there is an opportunity to help support fellow Records Officers with cogent responses to questions that arise from implementing or developing records management programs. Whenever a basic RM question is posed (e.g., what’s the retention for X; can I convert paper to electronic records), it will be directed to the requestor’s assigned LVA records management analyst. When there comes an inquiry that would benefit from member discussion, and you receive a few-more-than-usual responses in your inbox…please don’t unsubscribe. Either just delete the messages, or there’s the option to change the frequency at which you receive the messages to once a day, in a digest format, choosing one of those listed Subscription types, which are (mostly) explained here.

A heads up—if you have tried calling the LVA today, or most any other agency in central Virginia, you likely didn’t get through. There was a wide-spread outage; it was just now restored. If you were able to leave a voice-mail message, they seem to have been saved, but if your call isn’t returned by tomorrow, Monday at the latest, you might try again.

If you have any questions on the above, or anything records related, please contact your assigned records management analyst.

Thank you, and all the best in this new year,

- Glenn
