When I started at Waterworks, we did not have a records officer separate from the City.  Since I was hired to clean up the recordkeeping in the Department, we generated a lot of RM3s and an “agency specific” retention schedule during the first few years.  Based on the volume of paperwork going from us, to the City Clerk (designated City records officer) to LVA and back again, it was decided to designate the Waterworks Records Manager as a records officer also.  I have worked with government in several states and municipalities during my more than 45 years in the records management profession and I have found that every state has both similar and different records management related laws, regulations, and policies.  The assistance provided by the analysts at LVA was, and continues to be, invaluable.

 

I agree with Bruce that “A general discussion regarding privacy laws and FOIA exemptions would also be helpful.“  I have had to educate myself on the requirements of the Virginia Government Data Collection and Dissemination Practices Act (GDCDPA) which used to be called the Virginia Privacy Act.  This Act, along with FOIA, greatly impacts our recordkeeping policies and procedures, yet I have not seen any training offered.  The FOIA training that is provided every year is very informative and I would like to see similar training for the Virginia GDCDPA.

Hi Records Officers,

 

The Library of Virginia has plans to celebrate Records Management Month in April and we’re working on a session devoted to what it means to be a records officer.  In order to make the content useful for attendees, we are in need of some assistance!

 

Veteran records officers:  What have you learned along the way that would’ve been nice to have known when you started as a records officer?  Are there aspects of the job that you still struggle with?

 

New records officers:  What do you need help with?  What questions do you have that aren’t answered on our web site?

 

We’d value any and all input you have regarding the duties of the designated records officer.
