I would think they would have a PO folder and maybe itemize them by date because the PO numbers may or may not be in consecutive order from various departments. I know that I have created my own PO online and started numbering them in numeric order however other departments may be still using the multi-part forms. The Finance Dept. may also still be retaining the paper forms/records in their office. Which date to use...well we have been advised that a bill can't be paid until the item ordered has been received so based on that information, it would probably be good to key them in as entry dates and not the original date on the PO. I also retain a copy in my files however, I would file them by Department#/Account # and scan them into Laserfiche that way. Hope this helps.
