You are receiving this e-mail as a subscriber to the Virginia Records Officer Listserv (VA-ROL). # # The records series for disaster/emergency planning, as well as response and recovery documentation records, have been amended on three local and two state general records schedules. The response & recovery documentation is required by funding agencies when reimbursement is requested from state and local governments to recover response and recovery costs. These changes expand the description of the records, group similar series into the same schedules, and allow for the retention of all documentation created/used in a response/recovery operation, without having to unnecessarily retain superseded copies of the planning files. The general schedules may be accessed from the Library of Virginia's Records Management Website at http://www.lva.virginia.gov/agencies/records/retention.asp Regarding disaster/emergency planning files: - At the local level, "Emergency Planning and Related Records," 010042, has been made defunct on the Administrative Records schedule, GS-19. - On GS-16 - General Services Records schedule, the title of series 005243 has been amended to read "Security: Disaster and Emergency Planning Files" and the records contained in this series broadened to now include a CoOP. - The same thing has happened at the state level, the disaster planning series (100317) was made defunct in GS-101 - Administrative Records - Series 012274, "Buildings: Disaster and Emergency Planning Files," now mirrors the new language of the local series. Regarding disaster/emergency response and recovery records: - On GS-07 - PUBLIC UTILITIES DEPARTMENTS schedule, "Disaster Recovery Files" (005521) has been made defunct and is now "Security: Disaster Recovery Files" (200036) on GS-16 - General Services Records schedule. - A new series, "Buildings: Disaster Recovery Files" (200037) has been added to the state schedule GS-108 - Fire, Safety and Security Records.
