In an effort to gather better information on the permanent records transferred to the Archives at the Library of Virginia, we are introducing two new forms. When offering permanent records to the Archives, you will now submit the following.

  • Archival Transfer List and Receipt (ARC-1 Form) will be used in order to transfer permanent agency or locality records to the Archives. One ARC-1 Form will be submitted for each records series being transferred. This is replacing the Records Transfer List and Receipt (RM-17 Form).

  • Archival Transfer Folder List (ARC-2 Form) will be used in order to identify folders within a box of permanent records being transferred to the Archives. One ARC-2 Form will be submitted for each box of records.

You can find these forms along with instructions at http://www.lva.virginia.gov/agencies/records/forms.asp.

Please note, for the time being you will continue to use the Records Transfer List and Receipt (RM-17 Form) when sending security microform to Imaging Services. Non-permanent records being sent to the State Records Center (SRC) should be entered through Infolinx.

You may not be aware that October is Archives Month. If you’re interested in offering permanent records to the Archives, contact your Records Analyst. For more information on Archives Month in Virginia, go to http://www.lva.virginia.gov/public/archivesmonth/2011/.
