box management system. However, no changes will be made to our current
procedure for receiving microform for storage. The Records Transfer List
and Receipt (RM-17 Form) must accompany any shipment of microform to us
in paper format.  Please contact Imaging Services if you have any

Subject: LVA to launch Infolinx


You are receiving this e-mail as a subscriber to the Virginia Records

In the coming months, the Archives and Records Management Services
Division, which includes Records Analysis Services and the State Records
Center (SRC), will launch Infolinx, a box-management system.

 

If you are a State Records Center customer, you will soon receive more
information. When the system goes live, you will work directly in
Infolinx, through a Web client, to enter, request, and track boxes. The
Records Transfer List and Receipt (RM-17 Form) and Records Center
Retrieval Request (RM-18 Form) will no longer be accepted in paper
format. By giving you the ability to enter box and folder information
directly into Infolinx, you'll be able to better track and identify the
records you store at the SRC. 

 

Another change will take place in the way you will receive barcodes.
Once you have entered a box into the system, you will generate barcodes
and print them from your office. You will no longer need to request and
receive barcodes from SRC staff; however, this will require you to
purchase standard Avery-style labels. 

 

For those of you who are not SRC customers, Infolinx will have
advantages, too. The search capacity in Infolinx is more robust than the
current online searchable database, and will allow you to search across
multiple fields. This will make it easier to identify records and
complete the Certificate of Records Destruction (RM-3 Form). For the
first time, state agencies will be able to view and search across both
General and Specific Schedules in one place.

 

We're looking forward to this opportunity to bring you easier and more
reliable access to your records. While there is limited specific
information that we can share at this time, please feel free to contact
your Records Analyst off-list with any questions.
