Good afternoon all,

 

We are concluding a lengthy process of developing agency and locality Information Technology General Schedules, intended to cover records that are unique to IT departments.  

 

As a part of this process, the Electronic Records Schedules (GS-110 and GS-23) will no longer be used, as the records in these schedules are covered according to content in other General Schedules.  Having a schedule designated specifically for electronic records also conflicts with the Code of Virginia's definition of a public record (§42.1-77 <http://leg1.state.va.us/cgi-bin/legp504.exe?000+cod+42.1-77> ).  The Code of Virginia states that the medium on which information is recorded has no bearing on whether the document is a public record.  Electronic records should be retained according to content, not format.  Therefore, the Electronic Records General Schedules are being phased out.  Contact your Records Analyst if you have any questions.

 

Unfortunately, the listserv cannot translate attachments.  If you are interested in reviewing the agency and locality Information Technology General Schedules, please reply to me off-list at [log in to unmask]  Feel free also to pass the schedules along to those individuals who may have an interest in the documents but are not subscribed to the listserv. 

 

Specifically:

Are there any records created that are not represented on the schedules (or any other schedule)?

Are there any series on these schedules that might be confused with a series on another schedule?

Are there any code or regulation citations not mentioned that may affect a series?

Are the series descriptions clear and understandable?
