FIRST: A big THANK YOU to the university records managers. It is good to
know someone responsible is in charge.
Cross-cut machines do make it near impossible to reconstruct documents.
Straight-cut machines render paper into ribbons. These ribbons do not mix
much, making reconstruction of a document easier.
Shredding machines have been rated by the Federal Government. Those
approved have a filter screen hole size of 3/32, 1/8, or 4 mm. Using a
width of 3/8 inches is not as secure.
Section 10. Definitions.
"Shredding" seems to have two definitions - one defining what shredding
is and the other defining a type of shredding process or what a specific
machine does (such as a cross-cut shredder).
In computing, file shredding or file wiping is the act of deleting a
computer file securely, so that it cannot be restored by any means. This
is done either using file shredder software, or by issuing a "secure
delete" command, as opposed to a "delete" command from the operating

Section 20. Purpose.
1. The paragraph reads more like a procedure.
2. Listed as a method of destruction is "pulped" and "burned," but they
are not defined in section 10 and not offered as an option in section 30.
Section 30, Procedures.
A. Paper records.....
Same complaint as in definitions. Paragraph 'A' contains two different
topics: how to destroy paper records and what the records custodian shall
do.
I would change the arrangement a bit: A suggestion is as follows:
Section 30. Procedures.
A. Authorization.
B. Documentation.
C. Methods.
D. Contractors.
Also: I would add that an employee shall witness the destruction of
materials if done off-site or through a contractor.
