Hi Joy,
Although I have not had to address this form myself, I offer the
following as suggestions. Some small localities have apparently offered
to review the submissions for businesses in their area and then pass
them along to the Feds or send them back for correction to the business.
In these cases, I would treat the ones you still have as copies and keep
them only as long as administratively necessary.
If this is the locality copy of what was filed with the Federal
government for the municipality, then I would consider the following.
Although there is not a specific listing for this record, I would
classify it under one or more listings in GS-2 under Payroll Records.
"Wage and income tax reports" (10182), "W-2 wage and tax statements,
Form 1099 and Reports" (10183), and "Deduction Authorizations" (10173),
all of which have a 5 year retention with caveats such as after being
superseded or until audit. I believe form 941 covers these. Hope this is
of some help.
